What you can expect from The Incompass Group as your Events Manager:
1. The Event Objectives
This is the most critical step in planning an Event. Because we are independent, our view is objective and will give you a wider perspective on your conference aims.
2. Planning the Event
After the overall conference plan has been submitted for approval, you’ll benefit from regular meetings, continuing evaluation of progress, clear timetables, schedules and regular progress reports.
3. Setting the Budget
You’ll be given a total budget with every item of expenditure detailed for your approval. Once the final budget is agreed on, we manage income and expenditure, administer accounts and provide you with regular budget status reports. You will always maintain direct control of the financial structure.
4. Event Program
Programming is an art. We will advise on selection of speakers and how they should be scheduled for maximum impact. We will also assist with providing session breakers and educational entertainment to maintain delegate interest.
5. Supplier Negotiations
We know where to get everything the conference will need and how much it should cost. We can also advise on what’s new in travel, accommodation, venues, food trends, entertainment, audiovisual and multimedia concepts.
6. Computerised Registration
A computerised registration system is at least twice as fast as manually registering delegates and no conference of any significant size can be run at optimum efficiency without it. The greatest advantage, however, is in the accuracy and quality of information that can be extracted on delegate numbers, their financial status, travel and tour arrangements, accommodation requirements, and a host of other information.
